Processing & timelines

Most in-stock units ship within 2–5 business days of a confirmed order and receipt of payment or approved credit terms. Larger or freight-only equipment may require additional handling time; your specialist will confirm a delivery window before you commit. Need it urgently? Ask about rush options for time-critical clinical needs.

Shipping estimates are not guarantees. PMLS is not responsible for carrier delays, weather, or logistics disruptions outside its reasonable control.

Delivery & insurance

Orders ship via insured, tracked carriers across the United States. Smaller devices ship parcel; large equipment ships freight with liftgate and inside-delivery options available on request. Tracking is provided as soon as your order leaves our facility.

Title and risk of loss pass to the buyer upon delivery to the carrier. Freight, liftgate, inside delivery, and residential or limited-access surcharges are billed at cost unless quoted otherwise.

Site readiness. The buyer is responsible for confirming that the delivery site can receive the shipment — including dock access, door and elevator clearance, floor loading, and available personnel. Redelivery, storage, and detention charges resulting from a refused or inaccessible delivery are billed to the buyer.

Installation, de-installation, rigging, and site calibration are not included unless expressly quoted.

Damaged in transit

Inspect your shipment on arrival, before signing the delivery receipt. Note any visible damage on the carrier's bill of lading or delivery receipt at the time of delivery. Retain all original packaging and contact us within 48 hours of delivery so we can file a carrier claim and arrange a replacement or repair.

Claims reported after 48 hours, or where damage was not noted on the delivery receipt and the original packaging was discarded, may be denied by the carrier and cannot be honored.

Defective on arrival

Units found defective on arrival are covered under warranty at no cost to you. Report a DOA within 10 business days of delivery. PMLS will repair, replace, or refund at its option and will cover return freight. See our Warranty page for full coverage terms.

Returns

Stocked equipment may be returned within 30 days of delivery in original, undamaged, unmodified condition with all original packaging, accessories, manuals, and documentation.

How to start a return

Contact us at service@precisionmedlab.com or 877-785-9028 with your order details. A Return Merchandise Authorization (RMA) number must be issued before any unit is shipped back. Returns received without an RMA number will be refused.

Return freight and insurance are the buyer's responsibility, except where the return results from a PMLS error or a defect present on arrival.

Restocking & processing fee

Approved returns are subject to a 20% restocking and processing fee, or 25% on freight-class equipment, covering inspection, re-testing, recalibration, re-certification, and return to inventory. This fee is deducted from the refund.

Service during the return period

Equipment purchased from PMLS must not be disassembled, serviced, repaired, or modified by any party other than PMLS or a PMLS-authorized agent during the 30-day return period.

If you identify a fault, defect, or performance concern within that window, contact PMLS before opening or servicing the unit. We will troubleshoot remotely and, where required, dispatch or authorize on-site service at no cost where the issue is covered. That is what the 30 days are for — reach us and we will resolve it.

Any disassembly, component substitution, software or firmware change, calibration, or repair attempt by another party during the return period — including the buyer's in-house biomedical or clinical engineering staff, third-party service organizations, or another vendor's technicians — renders the unit ineligible for return, refund, or exchange, regardless of whether the intervention caused or contributed to the reported fault.

Removal, breakage, or defacement of any PMLS void, calibration, or QC seal, and removal or alteration of the serial number or PMLS identification label, are treated as evidence of unauthorized access and terminate return eligibility.

Authorized access: PMLS may authorize named personnel in writing to perform defined first-line troubleshooting without affecting eligibility. Ask your specialist if your facility requires this arrangement.

Condition requirements

Returned units are inspected on receipt and must arrive in the same condition in which they were delivered. A return will be refused, or a reduced refund issued, where a unit shows:

  • Broken, removed, or defaced PMLS void, calibration, or QC seals
  • Removed, altered, or illegible serial number or PMLS identification label
  • Any disassembly, component substitution, or repair attempt by a party other than PMLS
  • Software, firmware, or configuration changes
  • Physical or cosmetic damage beyond normal handling, liquid ingress, or evidence of misuse
  • Exposure to biological, chemical, or radioactive contamination
  • Missing accessories, cables, probes, or documentation

Where a unit arrives in reduced condition, PMLS will contact the buyer with a proposed adjusted refund or return the unit at the buyer's expense.

Decontamination

All returned equipment must be decontaminated prior to shipment and accompanied by a signed decontamination certificate. PMLS will refuse delivery of any unit returned without one and will not open or inspect equipment presenting a potential biohazard. Contaminated shipments are returned at the buyer's expense.

Non-returnable items

The following are not eligible for return: custom-configured and special-order equipment; consumables, accessories, and single-use items; parts; clearance and closeout items; and equipment sold "as-is." Non-returnable status is stated on the quote prior to purchase.

Refunds

Refunds are issued to the original payment method once the unit is received, inspected, and approved — typically within 10 business days of inspection. Original shipping, freight, liftgate, and delivery surcharges are non-refundable.

Cancellations

Orders may be cancelled without charge before the unit ships. Once a unit has been re-certified, configured, or crated for a specific order, cancellation is subject to the restocking and processing fee. Special-order and custom-configured equipment cannot be cancelled once ordered from the supplier.
